AI is changing fast.
Really fast.
At a recent mastermind with more than 400 marketing agency leaders, a mentor asked how many people offered AI services one year ago.
About ten hands went up.
Then he asked how many offer AI services today.
Every hand in the room was raised.
That is how quickly things are moving.
But before you start downloading every new tool, please hear me:
You do not need more technology just for the sake of having more technology.
You need tools that save time, simplify your practice, and give you more space to serve your practice members.
That is what we explored during our latest Staffless Practice masterclass.
Josh and I showed how AI can help practice owners build pages, create resources, organize ideas, and reduce hours of repetitive work.
The goal is not to replace the human connection.
The goal is to create more time for it.
AI Should Make Your Life Easier
There are thousands of AI tools out there.
You do not need all of them.
Start with one question:
Where am I losing the most time in my practice?
Is it:
- Writing emails?
- Creating event pages?
- Organizing meeting notes?
- Following up with your team?
- Building forms and resources?
- Turning ideas into action?
That is where AI can help.
Not by taking over your practice.
By helping you move faster.
A Few Tools Worth Knowing
ChatGPT
ChatGPT is a great place to brainstorm, create first drafts, organize ideas, and develop prompts.
You can bring it a messy thought and ask it to help you make it clear.
Love, love.
Claude
Claude is especially helpful for detailed documents, technical projects, and building website or landing-page code.
You tell it what you want the page to do, and it can help create the structure and code.
Voice-to-Text Tools
Tools like Whisper Flow allow you to talk instead of stopping to type.
You can speak an email, idea, caption, or task list, and the tool helps clean it up.
This is perfect when your brain is moving faster than your fingers.
Private AI Assistants
A private AI assistant can be trained around your practice, your systems, your communication, and your resources.
That means the answers can become more relevant to the way your practice actually works.
This is very different from asking a public AI tool a random question and hoping it understands your business.
Before You Buy Another Tool
Stop.
Do not turn this article into a shopping list.
More subscriptions will not automatically create a simpler practice.
Choose a tool because it solves a real problem.
Choose it because it saves meaningful time.
Choose it because it works with your current systems.
AI should reduce the chaos, not add another login to your day.
Get Better Results With the D.R.A.G. Method
One of the biggest mistakes people make with AI is typing:
“Write me a post.”
Then they wonder why the result sounds generic.
The AI does not know your audience, your personality, your offer, or what you are trying to accomplish.
You need to guide it.
Use the D.R.A.G. Method.
D: Details
Give the AI the important information.
Who is this for?
What are you creating?
Where will it be used?
What result do you want?
What language should it use or avoid?
R: Role
Tell the AI who it should act like.
For example:
“Act as an experienced chiropractic practice mentor.”
“Act as Dr. Jodi Dinnerman.”
“Act as a professional website copywriter for wellness practices.”
A: Ask Questions
Tell the AI to ask you a few questions before creating the final result.
This prevents it from filling in missing information with guesses.
G: Generate
Once the details are clear, ask it to create the final asset.
Then review it.
You are still the leader.
AI-generated does not mean automatically approved.
Look What We Created Live
During the masterclass, Ellen used the D.R.A.G. Method to create a customized, double-sided, 12-visit SOAP travel card.
She gave the AI information about:
- Her clinical focus
- Her visit structure
- Her coding needs
- Her preferred layout
Within seconds, the AI helped create a detailed design direction for a printable mockup.
Did AI replace Ellen’s knowledge?
No.
It used her knowledge to help her move faster.
That is the power of these tools.
Build a Landing Page in Minutes
Landing pages used to require a developer, several revisions, and a lot of waiting.
Now, the first version can be built much faster.
Here is the workflow we demonstrated:
Step 1: Plan It in ChatGPT
Give ChatGPT the event details, audience, goal, message, sections, and call to action.
Ask it to organize everything into clear instructions.
Step 2: Build It in Claude
Paste those instructions into Claude.
Ask it to create the HTML and CSS for the page.
Include your colors, fonts, buttons, images, and mobile layout.
Step 3: Add It to Practice Suite
Copy the code.
Paste it into a Custom HTML or JavaScript section inside your page builder.
Preview it, test it, and make your final changes.
Here ya’ go.
What once took days can now take minutes.
Automate the Invisible
This is where we need guardrails.
People are more connected digitally, but many feel more disconnected personally.
Your practice members do not come to you because they want another robot in their lives.
They come to you to feel seen, heard, and cared for.
So automate the invisible work.
You can use AI and automation to support:
- Appointment reminders
- Meeting summaries
- Task lists
- Internal organization
- Forms and worksheets
- First drafts
- Event outlines
- Landing pages
- Administrative workflows
These tasks happen behind the scenes.
Let the systems help with those.
Keep the Personal Parts Personal
Some things should never feel automated.
Referral Conversations
A referral is personal.
Do not turn a meaningful referral request into a cold, automated email.
Have the conversation face-to-face and heart-to-heart.
Sensitive Conversations
Do not rely on a bot to communicate sensitive health information or emotionally important messages.
Some moments need your voice.
Some moments need your presence.
Private Information
Never place protected health information, identifiable names, or confidential practice member details into a public AI tool unless you have confirmed that your platform and process meet all privacy and compliance requirements.
Convenience does not remove responsibility.
AI Is a Tool, Not the Strategy
AI can help you create faster.
It can organize information.
It can build resources.
It can reduce repetitive work.
But it cannot decide what kind of practice you want.
It cannot care about your practice members the way you do.
It cannot replace leadership, trust, or real human connection.
That part is still yours.
The goal is simple:
Use AI to create more room for the work only you can do.
Start Small
You do not need to become an AI expert overnight.
Choose one task.
Choose one workflow.
Choose one place where you are repeating the same work every week.
Then simplify it.
When you use AI with intention, you can save time, reduce overwhelm, serve more people, and bring more joy back into your practice.
You do not have to do everything yourself.
